Facilities
A facility is a care home the parish visits as a place, rather than a single homebound person in their own house. Church Admin and Clergy can manage facilities. Use Parishioners for someone visited at home. Use a facility when a team goes to one building on a repeating schedule and sees several residents, for example a weekly Communion service.
Details
Name is how the building appears in the list. Address and Phone are how the team finds it and calls ahead. Notes are for the team: parking, the front desk, which entrance. Active keeps the facility on the working list. Clear it when the parish no longer visits there. Remove facility deletes the record. Remove is permanent. Inactive is the choice when you might come back.
Team
The team is who serves this building. Search the church directory and add those people. One person can be marked Manager. Everyone else on the list is on the team. The manager is the person the rest of the team treats as responsible for this building’s schedule and roster. Adding someone here does not change their role on Users. A volunteer stays a volunteer. If the directory cannot be loaded, leave the team as it is and try again. Saving other sections should not be used to guess at a team you cannot see.
Visit schedule
Each row is one repeating visit: day, time, service, and how often.
- Every week means that weekday every week.
- 1st, 2nd, 3rd, 4th, or 5th means that weekday in that week of the month. When a week number is set, Skip the regular weekly visit that week appears. Leave it checked when this visit replaces the usual weekly stop, for example Mass on the 2nd Thursday instead of the Wednesday communion visit. Clear it when the parish makes both stops that week.
- Service tells the team what they are doing: Communion service, Live stream, Mass, Mass and anointing, or Other. Pick the one the team should prepare for. Other is for a service that is not in that list. Say what it is in the facility notes.
The page lists the upcoming dates those rules produce. Read that list after you save a rule. If the next date is wrong, the week number or the “replaces the weekly visit” flag is the usual cause.
Units and residents
Add a unit when the building is divided in a way the team needs, such as Memory Care or a skilled wing. Residents with no unit stay on Community.
Each resident has a name, room, unit, and notes. Room and unit are how the team finds them on the day. Notes are for that person only, such as “daughter visits at lunch” or “ask the nurse before communion.”
Status decides whether they stay on the visit list:
- Lives here. They are on the list. This is the starting status.
- Passed away. They leave the visit list. Enter the last date they should appear.
- Moved out. They have left the building. Enter the last date, and a Back on date only if you expect them to return to this roster.
- Hospital or rehab. They are away temporarily. The last date is when they leave the list. Back on is when they should return to it. Use this instead of deleting them, so the room and notes are still there.
- Declined visits. They, or their family, asked to stop. Same dates as a temporary absence if they might resume. Do not leave them on Lives here, or the team will keep including them.
