Users
Users is who belongs to the parish and what they are allowed to do, including the volunteers who bring Communion to homebound parishioners. A Church Admin invites people and edits membership. The role you choose is the decision that matters: it decides whether they use only the mobile app, or whether they can also open this site and change parish data.
Which role to give
- Volunteer. The people who accept visits in the mobile app. They cannot sign in here. They are the group Church settings can notify about a new parishioner, and only when their travel radius and availability fit that person. Give this role to everyone who will make visits and should not change settings, users, or email.
- Clergy. Can open this site and work with parishioners, facilities, and reports. They can read church settings and email templates. They cannot save those, and they cannot invite users. Use this when a priest or deacon should see the ministry without becoming an administrator. If Clergy is checked under volunteer notification roles, they are also told immediately when a new parishioner is saved.
- Church Admin. Can invite users, change roles, edit church settings, and edit email and the parish logo. Use this for the coordinators who should change how the parish runs. Each Church Admin you add is another person who can change those settings. If Church admins is checked under volunteer notification roles, every active Church Admin is told when a new parishioner is saved.
- System Admin. Shown only when your account is allowed to grant it. A System Admin chooses a working church in the sidebar and can manage every parish, including adding churches. Do not use it for a parish coordinator.
You can change a role later on the person’s page. The new role applies the next time they use the site or the app. Email is the sign-in address and stays fixed on that page.
Active
Leave Active checked while the person should serve. Clear it when they should stop. Inactive people are left out of new-parishioner notices. The account remains, so you can check Active again later without a new invitation. This is the right choice for a volunteer who is away for a season. Revoking an invitation is the right choice when they never accepted and should not join.
Invitations
- Choose Invite user.
- Enter the email address and the role.
- Choose Send invite. They receive the invitation email. If they are not in this church yet, an account is created for them. They finish by accepting the link in that mail.
Select to invite marks several people and sends those invitations together. Cancel leaves that mode. The wording of the email is under Email and branding, template User invitation. Until they accept, they are not a working volunteer and will not match to visits.
Filters: All, Pending (invited, not accepted), Rejected (expired or revoked), No invite, and Has assignment (already tied to a parishioner). Search matches the name. Open a row for the invitation detail, or open the profile for name, phone, role, and Active.
User limit
A parish that is not licensed can have 5 users. The page shows the count when that limit applies. Parishioners are not part of the count. A licensed parish has no user cap. When the parish is at the limit, Invite user stays disabled until a user is removed from the count or the parish is licensed. Licensing is set by a System Admin on the church record.
